Due to continued rapid growth and strong demand, Xavio Design of Mayfair is looking for a Project Assistant to join our fast-growing and dynamic team of professional designers, project managers, consultants, and technicians.

Xavio is a world-class lighting consultancy specialising in super-prime private residential, high-end hospitality, and luxury developments. We are privileged to work on some of the finest residences and architecture in the entire world.

The successful candidate can start immediately and will be set up to work remotely. They should also be able to work from our Alton office several days a week, with social distancing measures in place. There will always be flexible remote working in place as this is a core part of Xavio culture. This is a full-time role with a view to progression into Project Management.

  • Responsible for running multiple super prime residential and hospitality lighting design projects from concept through procurement to final completion including managing snagging and O&M packages.
  • Managing team workload including pre-empting future requirements, managing priorities and managing expectations both internally and externally.
  • Keeping track of product budgets and other commercial matters.
  • Managing communication with all members of the project teams.
  • Build strong relationships with key suppliers, clients and industry associates.
  • Keeping track of change management and associated paperwork throughout project lifetime.
  • Working alongside Xavio designers as part of a close-knit project team to ensure the successful completion of each project on time and to budget.

Skills needed:

  • The successful candidate will be working within one of our project teams to manage the realisation of our lighting designs in the luxury residential and hospitality sector.
  • Practised project management skills and experience of liaising with clients and contractors is key.
  • Proven experience of proactive management of workload and communication is a key consideration.
  • The desire to work in the fast paced and exciting sphere of luxury construction is a must.
  • The successful candidate will be working on high profile, often confidential, projects so discretion and tactfulness is key.
  • Knowledge of the construction industry is strongly preferred including management of programme trackers, JIT deliveries and work flow planning.
  • Attention to detail is key along with good organisational and problem-solving skills.
  • Excellent communication skills required to liaise with external project teams – clients, interior designers, architects, electrical contractors and AV consultants.
  • Experience of writing and managing project trackers, attending project meetings and writing progress reports is highly beneficial.
  • Knowledge of electrical installation, architectural lighting or construction processes will be a strong advantage. A technical mindset will be beneficial.
  • Experience in negotiation and relationship building with key contractors and suppliers is a strong advantage. Commercial understanding and mindset is key and an understanding of invoice procedures will be useful.
  • Knowledge of architecture and M&E service requirements from a lighting perspective is also beneficial.
  • Strong math and Excel skills are a bonus.
  • Knowledge or experience of using HubSpot is a bonus.
  • Own passport and a willingness to travel is essential as some of our projects are abroad and travelling to site will be required.
  • An interest in luxury design and a passion to create something incredible is key!
  • Candidates must live within easy commuting distance of our country office in Alton, Hampshire, for attending the office at least 2 days a week, and able to frequently travel to central London for client meetings & DTMs. (Alton is on the main line to Waterloo and we have plenty of parking.)
